Air conditioning across OX14: what to expect

Across OX14, every installation follows the same steps: a site survey, or pictures for simple jobs, then a fixed-price quote, the installation, commissioning and F-Gas records. You know the price before work begins and the paperwork is in your hands when we finish. Typical jobs include expensive direct electric heating and rooms under the roof that stay hot into the night, on VRF systems, wall-mounted split systems and multi-split systems.

The visit goes in the diary at a time that works for you, and we keep you posted if anything changes. On arrival, the engineer compares the job with the survey, your photos or the details you gave us. Anything unexpected is raised with you before we go further. After that, it takes anything from a day for one room to several days for a multi-room or ducted system.

  1. First comes a site survey, or photos and measurements for a straightforward job.
  2. Each room is sized and you get a fixed-price quote setting out the equipment and the unit positions.
  3. The units go up and the pipework, cable and condensate drain are run neatly between them.
  4. We connect the supply, pressure test the pipework and evacuate it before the refrigerant is released.
  5. The system is commissioned and checked in every mode, and we hand over the controls, F-Gas records and warranty information.

Let and managed properties

If you look after several properties, we can plan visits across the portfolio and price them together. Every address has its own paperwork, so each one has its own history.

Under the GB F-gas rules, responsibility for leak checks is shared between whoever operates the equipment and the engineers who work on it. In a let or managed building, it’s worth agreeing who that operator is and we’re happy to deal with whoever it is.

What affects the cost of air conditioning

Some jobs are bigger than they look, and some smaller. What affects the quote:

  • The condition of any existing system
  • The brand, model and parts involved
  • Whether it’s a one-off job or part of a maintenance contract
  • What electrical work the job needs

A single unit or a whole estate, the quote is built the same way: what needs doing, how we get to it and what it needs. You will have a fixed price before work begins, and the quote sets out the VAT.

Asking for a quote

Before you ask for a quote, gather:

  • The outdoor side of the property, including any roof or flat area
  • A few photos of the room and the wall the unit is on, or will go on
  • The address and the type of property
  • Any error code or flashing light on the display

Photos are the fastest route to a quote: the inside and outside of the property where the work is, plus the rating plate of any unit already there. Add the address and what you’d like done, and simple jobs can often be priced without a visit.

Owner checks or an engineer?

Some faults have simple causes you can check first: check the mode, the set temperature, the remote’s batteries and the breaker. If a breaker trips again after you reset it, leave it off and phone 07833 053749 or email us.

On air conditioning, the filters in the indoor unit are usually the one part owners can clean, if the manual says so. With the power off, they lift out, can be vacuumed or rinsed and must be fully dry before they go back. For a heat pump, the main owner jobs are a clear outdoor unit and sensible control settings.

Looking after your system

Here’s the after-treatment advice, in brief:

  • Flag any change in how the system sounds or performs
  • Avoid setting it far colder than you need
  • Close windows and doors while the system is cooling
  • Keep to the service interval the manufacturer recommends

You get the paperwork that matters: the commissioning details, the F-Gas records and the manufacturer’s warranty information. File them together as they’re needed for servicing and any warranty question.

Have the system serviced once a year. The engineer cleans the coils and drain, checks the electrics and the refrigerant circuit and catches small problems early and keeps the warranty paperwork right where servicing is a condition.

OX14 questions

How do you size the system?

Floor area is only part of it. Windows, the direction the room faces, the roof above and the people and equipment in it all count and the survey covers each of them.

Is planning permission needed for the outdoor unit?

Not always. Permitted development can cover a heat pump on a house, including an air-to-air system that heats as well as cools since 2025, provided the conditions are met. Permission is more likely to come up for cooling-only units, listed buildings, flats and road-facing positions in conservation areas and the survey picks it up. This is general information, not legal advice.

Can you fit air conditioning in a leasehold flat?

Often, yes, but there are extra steps. You’ll usually need the landlord’s or management company’s consent for the outdoor unit and the pipe route and the lease will say. Planning rules for flats are tighter too, so we point out anything that may need permission on the survey. This is general information, not legal advice.

What accreditations do you have?

We are an F-Gas certified company, NICEIC approved for electrical work and MCS certified for heat pumps. We are members of Checkatrade too.

Do you have a 24/7 line?

Yes. There’s a 24/7 emergency line for breakdowns that can’t wait. Ring 07833 053749 any time and explain the problem.

Can I fit air conditioning or a heat pump myself?

The refrigerant side has to be done by a qualified engineer working for an F-Gas certified company. That’s a legal requirement, and it also matters for the manufacturer’s warranty. We can quote for the whole job, from supply to commissioning.

Who has to arrange F-Gas leak checks?

Responsibility is shared between the operator, normally whoever owns or controls the equipment, and the service technicians. The interval depends on the refrigerant charge, measured in tonnes of CO2 equivalent: at least every 12 months from 5 tCO2e, and every 6 months from 50 tCO2e.
