Commercial air conditioning: get a fixed-price quote

What commercial air conditioning involves

Commercial air conditioning has to keep people comfortable, protect equipment and stay within the F-gas rules, often in a building that can’t close for the work. We survey the building, look at how each space is used and design a system to suit, from a few wall-mounted units in a small office to ceiling cassettes, ducted systems and VRF across several floors. We plan the work around trading hours, install and commission the system, and hand over the F-Gas records and controls information. Commercial systems are priced after survey. We also service and repair existing systems, help you keep leak checks on schedule and prepare for TM44 inspections. Clients we have worked with include Hilton Hotels, Holiday Inn, Rolls-Royce, McDonald’s and the BBC.

We’re based in East Grinstead and cover London and the South East. We’re an F-Gas certified company, NICEIC approved, MCS certified for heat pumps and a Checkatrade member.

All prices and what’s included

How it works

  1. We survey the building, look at how each area is used and check the existing plant, power and access.
  2. You get a design proposal and a fixed-price quote, with the work planned around your opening hours.
  3. Indoor units, outdoor plant, pipework, drains, controls and power are installed in agreed phases.
  4. The system is pressure tested, evacuated, charged and commissioned, and the controls are set up.
  5. We hand over the F-Gas records, commissioning details and manufacturer’s warranty information, and agree a maintenance plan.

Your F-gas duties as operator

The business that controls the equipment is its operator under the F-gas rules. Systems containing 5 to less than 50 tonnes CO2 equivalent need a leak check at least every 12 months, 50 to less than 500 tonnes every 6 months, and 500 tonnes or more need automatic leak detection. Only certified companies and qualified engineers may work on the refrigerant circuit. We keep the leak checks on schedule and the records up to date.

TM44 inspections

Air conditioning systems with an effective rated output of more than 12 kW in a building in England or Wales must be inspected by an accredited energy assessor at least every five years. Smaller units under the same control count together. We aren’t energy assessors, but we can arrange the inspection, provide the system information the assessor needs and carry out the recommendations afterwards.

Working around the business

Offices, shops, restaurants, hotels, schools and surgeries can’t stop for an installation. We phase the work floor by floor or room by room, work early, late or at weekends where it helps, and agree the noisy and dusty parts of the job in advance. Ceilings, floors and furniture are protected, and the building is left tidy at the end of each shift.

Why it’s worth doing now

Commercial air conditioning that is old, undersized or poorly maintained costs money every day. Uncomfortable staff are less productive, customers notice a stuffy shop or restaurant, and servers don’t tolerate heat. Older systems on R410A are getting dearer to keep topped up as the GB phase-down tightens, and missed leak checks or an overdue TM44 inspection leave the business out of line with the rules. Planning the upgrade or maintenance now lets you choose the timing instead of reacting to a breakdown.

What a good quote includes

  • A site survey, or clear photos, before the price is fixed
  • The make and model of every indoor and outdoor unit, not just “a 3.5 kW unit”
  • Pipe runs, electrics, condensate drainage and making good
  • Commissioning, a leak test and the F-Gas records
  • The manufacturer’s warranty terms for that brand, in writing
  • Whether VAT is added, and at what rate

Afterwards

At handover you get the F-Gas records, commissioning sheets, controls settings and the manufacturer’s warranty information, and your staff are shown how to use the controls. Keep the leak check and service records together with the TM44 report. Clean or change filters on schedule and keep plant areas clear. We can set up a maintenance contract so servicing and leak checks are booked in advance.

What customers say

“Excellent service from start to finish. Two wall-mounted units installed in our home. Clean, tidy work: they protected all the floors and left no mess. The systems work brilliantly. Would highly recommend.”

Sarah M., East Grinstead

“Office air con broke down in the July heatwave. Called at 8am, engineer was here by noon and fixed within 2 hours. Brilliant emergency response. They now hold the service contract for the whole building.”

James T., Crawley, office manager

“Very professional from the initial survey through to installation. The engineer explained everything clearly and the quote was exactly what we paid. Would not hesitate to recommend AirCon Doctor.”

Commercial air conditioning: common questions

How much does commercial air conditioning cost?

Commercial systems are priced after a survey, because the building, the number of zones, the plant position, access and working hours all change the cost. You get a fixed-price quote before work starts. VAT is charged at the standard rate on business premises.

Which system suits an office?

Small offices often suit wall-mounted or multi-split units. Open-plan floors with suspended ceilings usually suit cassettes or ducted units, and larger buildings with many zones suit VRF. Our office air conditioning page explains the options.

Can you work outside business hours?

Yes. We plan commercial work around your trading or teaching hours, including early starts, evenings and weekends where that’s what the building needs.

Do we need a TM44 inspection?

If the air conditioning in your building has an effective rated output of more than 12 kW in total, it must be inspected by an accredited energy assessor at least every five years. See the GOV.UK guide to air conditioning inspections and our TM44 page.

Our system runs on R410A. Should we replace it?

Not necessarily. Repairing and maintaining existing R410A systems is still legal, but the GB phase-down is making it scarcer and dearer. We assess the system and give you a costed choice between repair and replacement. Our article on the 2027 F-gas phase-down explains what is changing.

Do you offer maintenance contracts?

Yes. A maintenance contract books your servicing and leak checks in advance and keeps the F-gas records in order. Contracts are priced to the size of your estate.

Are you F-Gas certified?

Yes. AirCon Doctor is an F-Gas certified company, and our engineers hold the qualifications needed to work on refrigerant circuits. We are also NICEIC approved for electrical work.

Do you give a fixed price before you start?

Yes. After a site survey, or from photos for simple jobs, you get a fixed-price quote so you know the cost before any work starts.

How quickly do you reply?

We reply to enquiries the same working day. For a breakdown, there’s a 24/7 emergency line.
