What air conditioning servicing involves

A service keeps air conditioning efficient, clean and reliable. The engineer cleans or replaces the filters, cleans the indoor coil and fan, checks and clears the condensate drain, cleans the outdoor coil and checks the fan, the electrical connections and the controls. We measure the system’s operating pressures and temperatures, check for signs of a refrigerant leak and run it in cooling and heating. For systems where the F-gas rules require a periodic leak check, we carry it out and record it. Annual servicing starts from £95 + VAT for a single split system. You get a short report of what we found and anything that needs attention. Our guide to what an annual service includes goes through it step by step.

We’re based in East Grinstead and cover London and the South East. We’re an F-Gas certified company, NICEIC approved, MCS certified for heat pumps and a Checkatrade member.

How it works

  1. Book a visit and tell us the make, the number of indoor units and when it was last serviced.
  2. The engineer checks the system running before anything is cleaned, so existing faults are spotted.
  3. Filters, coils, fans and the condensate drain are cleaned and the electrics and controls are checked.
  4. Pressures and temperatures are measured, the system is checked for leaks and run in every mode.
  5. You get a service report and, where required, the F-Gas leak check is recorded.

What the F-gas rules say

Under GB F-gas rules, equipment containing 5 to less than 50 tonnes CO2 equivalent of F gas needs a leak check at least every 12 months, and 50 to less than 500 tonnes every 6 months. Fitting leak detection doubles the interval. The tonnage depends on the refrigerant charge and its global warming potential, so 3 kg of R410A is about 6.3 tonnes while 3 kg of R32 is about 2.0 tonnes. We work it out from the nameplate and tell you what applies.

Why a service pays for itself

Dirty filters and coils cut the airflow, so the system works harder for less cooling and heating. Blocked drains overflow. Small leaks go unnoticed until the system stops. A service puts the airflow back, catches faults while they are cheap to fix and keeps the indoor unit clean, which matters in bedrooms, offices and anywhere people sit close to it all day.

Domestic and commercial

Homes usually need one service a year. Busy offices, shops, restaurants, server rooms and anywhere with heavy use may need two. Commercial systems over the F-gas thresholds need their leak checks on time and a record kept, and larger systems over 12 kW also need a TM44 inspection at least every five years. A maintenance contract keeps all of that on schedule.

Why it’s worth doing now

Air conditioning loses efficiency quietly. Dust builds up on the filters and coils, the drain slowly silts up and a small leak can go unnoticed for months. By the time you notice, the system is costing more to run and may be close to a breakdown. A service before the summer means the system is ready when you need it, and for larger systems it keeps your F-gas leak checks up to date. If you can’t remember when it was last serviced, it’s due.

What a good quote includes

  • A site survey, or clear photos, before the price is fixed
  • The make and model of every indoor and outdoor unit, not just “a 3.5 kW unit”
  • Pipe runs, electrics, condensate drainage and making good
  • Commissioning, a leak test and the F-Gas records
  • The manufacturer’s warranty terms for that brand, in writing
  • Whether VAT is added, and at what rate

Afterwards

You get a service report listing what we cleaned, checked and measured, any faults and our recommendations, and the leak check record where the rules require one. Between visits, clean the filters every few weeks in heavy use, keep the outdoor unit clear and don’t block the indoor unit’s airflow. Tell us about any new noise, smell or drip. We’ll remind you when the next service is due.

What customers say

“Excellent service from start to finish. Two wall-mounted units installed in our home. Clean, tidy work: they protected all the floors and left no mess. The systems work brilliantly. Would highly recommend.”

Sarah M., East Grinstead

“Office air con broke down in the July heatwave. Called at 8am, engineer was here by noon and fixed within 2 hours. Brilliant emergency response. They now hold the service contract for the whole building.”

James T., Crawley, office manager

“Very professional from the initial survey through to installation. The engineer explained everything clearly and the quote was exactly what we paid. Would not hesitate to recommend AirCon Doctor.”

Air conditioning servicing: common questions

How much does an air conditioning service cost?

An annual service is typically £95–£150 + VAT for a single split system. Multi-split, ducted and commercial systems are priced on the number and type of units. We give you a fixed price when you book.

How often should air conditioning be serviced?

Once a year for most homes. Systems in heavy use, such as offices, shops, restaurants and server rooms, may need servicing every six months. The F-gas rules also set minimum leak check intervals for larger systems.

Is servicing a legal requirement?

Leak checks are a legal requirement for equipment containing 5 tonnes CO2 equivalent of F gas or more, at least every 12 months, and more often for larger systems. Hermetically sealed systems under 10 tonnes have no set interval. Responsibility is shared between the operator and the service technicians. See the GOV.UK leak checking guidance. This is general information, not legal advice.

Does servicing affect my warranty?

Some manufacturers set conditions on maintenance. We explain the manufacturer’s terms for your system and keep a record of each service, so you have the evidence if you ever need to make a claim.

What happens if you find a fault?

We tell you what it is and what it will cost to fix. Small things, such as clearing a blocked drain, are usually sorted on the visit. Anything bigger is quoted before we do it.

Do you service systems someone else installed?

Yes. We service all the main brands, wherever the system came from.

Can you remind me when it’s due?

Yes. We can remind you each year, or set you up on a maintenance contract so the visits are booked in advance.

Do you give a fixed price before you start?

Yes. After a site survey, or from photos for simple jobs, you get a fixed-price quote so you know the cost before any work starts.

How quickly do you reply?

We reply to enquiries the same working day. For a breakdown, there’s a 24/7 emergency line.
