How we handle air source heat pumps in Hartley
Every installation starts with a heat loss survey. That tells us how much heat the home needs, room by room, so the heat pump and the radiators or indoor units can be sized properly. Sizing by rule of thumb is not good enough. The work covers air-to-water heat pumps, hot water cylinders and underfloor heating, and the jobs we see most are radiators that may be too small for a heat pump and checking eligibility for a heat pump grant.
Older and listed homes in villages like Hartley need extra care, and permitted development doesn’t cover listed buildings, so we check consent first.
For a fault on a system that may still be under warranty, send us the make, model and installation date. We will explain how the manufacturer’s terms are likely to apply before any chargeable work goes ahead.

What happens on the day
We keep the work area tidy as we go, with dust sheets down and offcuts and packaging cleared up. If we need to drill through a wall, we agree the spot with you first. The visit takes from a couple of days to around a week, depending on the system and how much of the heating changes. For a village like Hartley, tell us about narrow lanes, gates and parking when you book.
- It starts with a conversation about the home, the existing heating and your plans.
- The survey measures heat loss room by room and looks at radiators, hot water and the best spot for the outdoor unit.
- You get a fixed-price quote, with any grant you’re eligible for and the VAT explained.
- The outdoor unit, the indoor equipment and the controls are installed and connected.
- Commissioning, MCS certification and a handover of the controls finish the job.
Before we arrive
- Mention any roof access, ladders or high-level work
- Mention any managing agent or landlord rules we need to follow
- Name a contact who can meet us at the agreed time

What happens if it’s left?
A sudden boiler failure rarely leaves room to plan a heat pump properly. Planning ahead gives time for the heat loss survey, the design and the grant application while the old heating still works. An early booking makes the visit to Hartley easier to arrange.
Several rooms, units or sites on one quote often makes better use of the time. Tell us about everything you’d like looked at and we’ll price it together.

How the job changes from property to property
Heat loss surveys
Without a proper survey, a heat pump can be too big or too small and that matters for comfort and running.
Air-to-air heat pumps
An air-to-air system heats rooms directly and can also provide cooling. Hot water needs a separate source, so that has to come from elsewhere.
FAQs for Hartley
Will you come out to Hartley?
We do. Villages and hamlets get the same service as the bigger towns. We are based in East Grinstead and plan each visit so the job can be finished in one trip where possible.
Can I fit a heat pump in Hartley without planning permission?
There’s no single answer: the building and the outdoor unit position decide it. The centre of Hartley is in a conservation area. A heat pump on a house can be permitted development if it meets the conditions, including the MCS noise check, but not within the grounds of a listed building, and in a conservation area the outdoor unit can’t face a road. Where needed, we check with the local planning authority (for Hartley, typically Tunbridge Wells council).
How do you keep the place clean during the work?
We put dust sheets over floors and furniture near the work first, and the area is kept tidy throughout. Before we leave, we clear up and run through the work with you.
Which accreditations do you hold?
AirCon Doctor is an F-Gas certified company, with NICEIC approval for electrical work and MCS certification for heat pumps. We’re members of Checkatrade too.
Can you set up regular servicing?
Yes. We offer maintenance contracts, with visits at the interval your system and the manufacturer need. Each visit is recorded and F-Gas records kept where they apply.
Can I get the Boiler Upgrade Scheme grant?
Not every home qualifies, so we check. Only one grant is available per property, it can’t replace a low-carbon system, and hybrids do not qualify and other conditions apply.
Whose job is it to check the system for leaks?
Responsibility is shared between the operator, typically whoever owns or controls the equipment, and the service technicians. The interval depends on the refrigerant charge, measured in tonnes of CO2 equivalent: at least yearly for 5 to under 50 tCO2e, and every 6 months for 50 to under 500 tCO2e.
What you can do yourself, and what needs us
Owner care supports servicing; it doesn’t replace it. Clean filters and a clear outdoor unit help the system run as it should, but the refrigerant circuit, the electrics and the parts you can’t see still need an engineer at the interval the manufacturer recommends.
There are a few things you can safely do yourself: keeping the outdoor unit clear, checking the mode and set temperature, and the routine cleaning in the manual. Opening up the units, the electrics and the refrigerant circuit are a job for us.
What a heat pump looks like in Hartley
About 35% of homes in Hartley and the neighbourhoods around it were built before 1919, according to VOA council tax data, and the last census (2021) found about 71% of households in detached or semi-detached houses. In older homes, the heat loss calculation is especially important, as solid walls and draughts change the size of heat pump needed. Finding room for the outdoor unit and a cylinder is seldom a problem in homes like these.
A heat loss calculation decides the size of heat pump your home needs. Scotney Castle lies about 4.4 miles west. Owners of listed homes need consent before a heat pump is fitted, so it’s one of our first questions.
