Commercial air conditioning in Oxford
Commercial air conditioning is a big part of what we do, for businesses in Oxford and the rest of Oxfordshire. That includes offices, shops, restaurants, hotels, schools and server rooms and we choose the system to suit the space and the way it’s used. The work covers ducted systems, wall-mounted split systems and VRF systems, and people most often call us about older systems that can’t keep up and F-gas leak checks and records that are overdue.
A comms room in Oxford needs cooling every day of the year, so a second unit for back-up is often worth it.
Warranty on the equipment is the manufacturer’s own, on the manufacturer’s terms, and we set them out on your quote. Each brand sets its own conditions, and we are happy to talk you through them.

For landlords and property managers
The F-gas rules share responsibility for leak checking between the equipment’s operator and the service technicians. Where a building is let or managed, the lease or contract should make clear who looks after the system, and we can work for either side.
Bigger systems bring extra duties: a TM44 inspection by an accredited energy assessor is required at least every 5 years for systems over 12 kW. We can arrange it, prepare the system for it and fix what it finds.
Keeping the system healthy
Simple habits make a real difference. We recommend:
- Don’t let servicing slip
- Show staff how to use the controls properly
- Keep outdoor units clear of rubbish and stored goods
If anything does not feel right after the install, phone us on 07833 053749 or send an email and we’ll look into it. Our 24/7 emergency line covers breakdowns.
Simple control settings help. Units heating and cooling the same space at once is a common problem, and we can help set them up.
What we do, step by step
Think of the visit in three stages: look, put right and sign off. First we check the system or the space against the plan, then we do the work, and finally everything is tested, recorded and explained. The middle part takes longest, and that takes a matter of days for a modest fit-out, with larger buildings phased floor by floor or zone by zone. Larger jobs in Oxford can be done in stages, so part of the building stays in use.
- First comes a survey, looking at the building and how it’s occupied.
- You get our recommendation and a fixed price.
- We agree the timing, with evening, weekend or phased work as needed.
- We install the units, pipework, drainage, electrics and controls.
- We commission the system and hand over the F-gas records and controls.
How to prepare
- Let us know if the building has a permit or sign-in process
- Clear a path to the units and the space around them
- Tell us about parking and loading
Getting a price
Quoting starts with a diagnosis, either on a site survey or, for simple jobs, from your photos and details. Then you get a fixed price so you know the cost before we begin.
Advice
What you can do yourself, and what needs us
For air conditioning, cleaning the indoor unit’s filters is the main job owners can do, if the manual says so. With the power off, they lift out, can be vacuumed or rinsed and must be fully dry before they go back. For a heat pump, the main owner jobs are a clear outdoor unit and sensible control settings.
Leave the units and pipework where they are. Disconnecting a system means dealing with refrigerant, which only a qualified engineer can do, and the electrical side needs a competent person. Ask us to quote for a move instead.
Questions from Oxford
Do I need planning permission for air conditioning in Oxford?
The answer turns on the property and where the outdoor unit would sit. The Headington Hill Conservation Area takes in the middle of Oxford. An air-to-air system used for heating as well as cooling can be permitted development on a house if it meets the conditions, but a cooling-only unit is not covered, listed buildings need consent and conservation areas restrict outdoor units facing a road. Where necessary, we check with Oxford City council, which is usually the planning authority for Oxford.
Can you do commercial air conditioning in Oxford?
Yes. Oxford is one of the places we cover. To start, ring 07833 053749 or write to us at info@aircondoctor.co.uk with a few photos.
What types of commercial air conditioning do you install?
Everything from wall-mounted units for single rooms to VRF or VRV systems serving whole buildings. Cassettes and ducted units are common choices for open-plan and visible spaces.
Can landlords and managing agents book you?
Yes. Homeowners, landlords, agents and businesses all book us across London and the South East. Let us know who the records should go to.
Can I do the refrigerant work myself?
No, not the refrigerant side. Under the F-gas rules, it must be done by qualified engineers from a certified company, and a new circuit is notifiable under Part P unless a registered electrician, such as a NICEIC approved contractor, does it.
Do you protect the property while you work?
Protection goes down first: sheets over the floor and nearby furniture. Any drilling is agreed with you first, and we clear up the dust and offcuts before we leave.
Do I need to service the system to keep the warranty?
Each manufacturer decides. Where servicing is a condition, a missed service could give the manufacturer grounds to refuse a claim and we will tell you what your brand asks for.
Cooling for Oxford businesses
There are about 366 cafés, restaurants and staff canteens, about 14 hotels and guest houses and about 80 schools and colleges within 1.5 miles or so of the middle of Oxford, according to the Food Standards Agency’s register. Many of those sites need air conditioning that’s sized for long hours and maintained on a schedule. The Valuation Office Agency’s council tax figures put about 59% of homes in the Oxford area before 1919, and about 40% of households live in terraced houses, according to Census 2021 figures. In mixed streets, commercial outdoor units have to be placed and sized with the homes nearby in mind.
Before any plant goes outside a building like St Clement's Church, its trustees may need planning or heritage advice, and we work with whoever gives it. For a school like East Oxford Primary School, air conditioning work is best done out of term.
